2. Manager's Toolkit — Roster For Managers
1. Add a New Staff Member
Select Menu › Manager's Toolkit › + Add Member tab › fill in SL Name / Role / Timezone / Login Code / Max Permanent Slots › (optional) Upload Photo › + Add Member
Creates a new roster entry. They can log in immediately with their code, and a manager can book them into any slot right away. The Timezone dropdown covers several hundred cities worldwide — pick whichever recognisable city shares the same time as the staff member, it doesn't need to be their exact city.
2. Auto-Generate a Login Code
Select Menu › Manager's Toolkit › + Add Member tab › Login Code field › dice icon
Fills the Login Code field with a strong random code, safer than a short guessable one like a 4-digit number.
3. Edit a Staff Member
Select Menu › Manager's Toolkit › Roster tab › Edit (pencil icon) on their row
Opens their details for editing — name, role, timezone, login code, max permanent slots, and photo — with the same fields as adding a new member.
4. Remove a Staff Member
Select Menu › Manager's Toolkit › Roster tab › ✕ on their row
Deletes them from the roster permanently. Their login code stops working immediately. Any slots they held are not automatically cleared — those need to be edited separately.
5. View a Staff Member's History
Select Menu › Manager's Toolkit › Staff History tab › select a staff member › Load History
Shows their full record of past slots, check-ins, cancellations, permanent slots, and a reliability score. Filter by Checked In, Confirmed, Cancelled, No-Shows, or Permanent, and optionally include future slots.
6. Sort or Filter the Roster
Select Menu › Manager's Toolkit › Roster tab › Sort By: A–Z / Managers / DJs / Hosts / Date Joined
Reorders the roster list on screen. Doesn't change any data, just how it's displayed.
3. Manager's Toolkit — Schedule Setup For Managers
1. Set Up Time Slots for the Week
Slots button › choose Start Time and End Time › + Add Slot › choose Standard (this + future weeks) or One-Off (this week only)
Creates a DJ and Host slot pair at that time for every day of the week. Standard slots automatically continue onto every future week you add; One-Off exists only for the current week and won't offer Permanent or Rotating status.
2. Remove a Time Slot
Slots button › Current Time Slots list › remove icon next to a slot
Deletes that time slot from the week's grid entirely, along with whatever DJ/Host booking was in it.
3. Add a New Week
Select Menu › Manager's Toolkit › Add Week tab › + Add Week
Adds the next week onto the schedule, continuing from whichever week is currently latest. Permanent, Rotating, and Shareable slots carry over automatically — rotating slots swap to the other partner. Everything else starts empty. Events are never copied forward.
4. Delete a Week
Full 2 Week Schedule or main grid › week header › Delete Week
Permanently deletes every slot booking for that week, including any uploaded event videos in it. This can't be undone.
4. Manager's Toolkit — Alerts & Check-In For Managers
1. Set Manager Alert Timing
Select Menu › Manager's Toolkit › Alerts tab › choose Alert Window and Repeat Alert Every
Controls when you get an on-screen alert for a slot today that's empty or hasn't checked in, and how often it re-fires. Saved automatically.
2. Set the Staff Check-In Window
Select Menu › Manager's Toolkit › Check-In tab › choose Check-In Window
Controls how early staff are allowed to mark themselves checked in before their slot starts. Saved automatically and applies to every staff member.
3. Customize Check-In Messages
Select Menu › Manager's Toolkit › Messages tab › edit DJ / Host Check-In Message › Save Messages
Changes the message staff see when they successfully check in. Use {name} to insert their display name. Reset to Defaults restores the original wording.
5. Manager's Toolkit — Branding & Announcements For Managers
1. Upload the Club Logo
Select Menu › Manager's Toolkit › Logo tab › Choose Image › Save Logo
Sets the club's logo, which then appears automatically beside the club name everywhere it's shown — the scheduler and the public display board. PNG with a transparent background works best.
2. Remove the Club Logo
Select Menu › Manager's Toolkit › Logo tab › Remove Logo
Removes the saved logo; the club name reverts to text-only.
3. Add Promo Media
Select Menu › Manager's Toolkit › Promos tab › Choose File › + Add Promo
Adds an image or video (JPG, PNG, GIF, MP4, WebM) to the rotation that cycles in the public showcase.
4. Remove Promo Media
Select Menu › Manager's Toolkit › Promos tab › remove on a listed item
Removes that item from the showcase rotation.
5. Set the Ticker Announcement
Select Menu › Manager's Toolkit › Ticker tab › type message (up to 160 characters) › Save
Sets the scrolling announcement banner text, visible to every visitor immediately.
6. Clear the Ticker Announcement
Select Menu › Manager's Toolkit › Ticker tab › Clear
Removes the current announcement so the ticker shows nothing.
7. Set the In-World Teleport Location
Select Menu › Manager's Toolkit › Teleport tab › paste a SLURL › Save
Sets where the Teleport button (in everyone's options menu) sends visitors in-world. Leave blank to show a friendly “no location set up” message instead of a broken link. Takes effect immediately.
8. Test the Teleport Link
Select Menu › Manager's Toolkit › Teleport tab › Test Link
Opens the currently saved teleport URL yourself, so you can confirm it's correct before staff or visitors use it.
6. Manager's Toolkit — Communication For Managers
1. Message All Staff
Select Menu › Manager's Toolkit › Broadcast tab › type message › Send to All Staff
Delivers a message to every staff member's inbox. They see it as a popup the next time they log in, or immediately if already logged in.
2. Send a Live Broadcast
Select Menu › Manager's Toolkit › Broadcast tab › type message › set countdown › Send Live Broadcast
Sends an urgent popup with a countdown timer to everyone currently logged in. Staff are automatically logged out when the timer expires — useful for maintenance or emergencies.
3. Cancel a Live Broadcast
Select Menu › Manager's Toolkit › Broadcast tab › Cancel Broadcast
Stops the active live broadcast countdown early.
7. Manager's Toolkit — Records & Admin For Managers
1. View the Login Audit Log
Select Menu › Manager's Toolkit › Login Log tab
Shows a record of every staff login — name, role, and timestamp — in your local time. Keeps the last 400 logins. Use it to verify who was logged in as which account and when. Filter by typing a name.
2. Clear the Login Log
Select Menu › Manager's Toolkit › Login Log tab › Clear Log
Permanently erases the entire login history. Can't be undone.
3. Reset All Permanent Flags
Select Menu › Manager's Toolkit › Permanent tab › Reset All Permanent Flags
Clears Permanent and Pending-Permanent status from every slot club-wide in one action. Confirmed bookings themselves aren't affected — staff can request permanent status fresh afterward.
4. Reset Club to Blank Slate
Select Menu › Manager's Toolkit › (Owner-only tool, requires your personal backdoor code)
Wipes every schedule row, roster member, setting, and staff application for this club, and deletes any uploaded event videos. There is no undo and no backup taken automatically — only ever use this deliberately, and back up the database first if there's any doubt.
8. Slot Management — Booking For Managers
1. Book a DJ or Host into a Slot
Click any slot on the schedule grid › DJ or Host tab › choose from dropdown › Confirm
Books that roster member into the slot immediately — no approval step, since a manager is doing it directly.
2. Book a Guest DJ or Host
Click any slot on the schedule grid › DJ or Host tab › Guest › type a name › Confirm
Books a name directly into the slot without them needing to be on the roster — useful for one-off guest appearances.
3. Set or Update the Genre
Click a booked DJ slot › DJ tab › Genre dropdown › Confirm (or Update Genre if already booked)
Tags what kind of music the DJ will be playing, shown on the schedule and public display board.
4. Check a Staff Member In
Click a booked slot › DJ or Host tab › Check In
Marks them as checked in for that slot, shown to everyone viewing the schedule and used for reliability tracking.
5. Remove a DJ or Host from a Slot
Click a booked slot › DJ or Host tab › change selection to blank, or Delete
Clears the booking, returning the slot to Open.
6. Grant Permanent Status
Click a slot › DJ or Host tab › Make Permanent
Locks that staff member into the same slot every week going forward, automatically carried over each time a new week is added, until removed.
7. Remove Permanent Status
Click a permanent slot › DJ or Host tab › Remove Permanent
Un-locks the slot — it stops auto-carrying forward onto new weeks, though the current week's booking is untouched.
8. Set Up a Rotating Slot
Click a permanent slot › DJ or Host tab › Make Rotating › choose the rotation partner
Alternates the slot between two staff members automatically each week it's carried forward, instead of staying with one person permanently.
9. Remove Rotation
Click a rotating slot › DJ or Host tab › Remove Rotation
Stops the automatic weekly swap; the slot reverts to a normal permanent slot for whoever currently holds it.
10. Make a Slot Shareable
Click a permanent slot › DJ or Host tab › Make Shareable
Allows other eligible staff to pick up that slot occasionally without affecting the permanent holder's ownership of it.
11. Remove Shareable Status
Click a shareable slot › DJ or Host tab › remove Shareable
Turns off shareability; the slot goes back to being exclusively the permanent holder's.
9. Slot Management — Booking For Staff
1. Reserve an Open Slot
Click an open slot on the schedule grid › DJ or Host tab › Reserve Slot
Sends a reservation request to the managers. The slot shows as Pending on the schedule until a manager approves or rejects it.
2. Check Yourself In
Click your own confirmed slot › DJ or Host tab › Check In
Marks you as checked in, visible to everyone viewing the schedule, within the check-in window a manager has set. Not available if you've flagged that slot as needing relief (claimed or not) — only a claimed relief, or a manager, can check in once relief has been requested.
3. Cancel Your Own Booking
Click your own slot › DJ or Host tab › Delete
Removes you from the slot, returning it to Open for someone else to claim. On a permanent slot with relief active, this button instead governs the relief itself — see the Relief Cover section.
4. Update Your Own Genre
Click your own DJ slot › DJ tab › Genre dropdown › Update Genre
Changes the genre tag shown on your own slot.
5. Request Permanent Status
Click your own confirmed slot › DJ or Host tab › Request Permanent
Sends a request to the managers to lock you into that slot every week. Requires manager approval before it takes effect.
6. Request Rotating Status
Click your own confirmed slot › DJ or Host tab › Request Rotation
Sends a request to alternate that slot weekly with another staff member. Requires manager approval.
7. Make Your Own Slot Shareable
Click your own permanent slot › DJ or Host tab › Make Shareable
Opens your permanent slot up for other eligible staff to occasionally cover, without giving up your ownership of it.
10. Relief Cover
1. Set a Named Relief DJ or Host For Managers
Click a permanent slot › DJ or Host tab › Relief dropdown › choose a name › Set Relief
Assigns someone to cover that one dated slot only. The permanent holder's status and every other week are unaffected.
2. Mark Relief as “Needed” For Managers
Click a permanent slot › DJ or Host tab › Relief dropdown › select “Needed” › Set Relief
Flags the slot as needing a one-week fill-in without assigning anyone. It appears in Open Slots for eligible staff to claim themselves.
3. Mark Your Own Slot's Relief as “Needed” For Staff
Click your own permanent slot › DJ or Host tab › Mark Relief as Needed
Lets you flag that you won't be able to make this slot, without picking who covers it — that part is always left to a manager or an eligible staff member claiming it themselves. Unlike the manager's version, you never see a name-picker here. Your permanent slot itself is unaffected.
4. Remove Relief “Needed” For Staff — Own Slot Only
Click your own permanent slot › DJ or Host tab › Remove Relief Needed
Available only while nobody has claimed it yet. Cancels your own relief request and the slot goes back to normal, showing just you. If someone has already claimed the spot, this option isn't available — see “Automatic Notice” below.
5. Clear a Relief Booking For Managers
Click a slot with relief set › DJ or Host tab › Clear Relief
Removes the relief fill-in, whether it's still unclaimed or already assigned to someone by name. The slot goes back to showing just the permanent holder. Unlike the staff self-service option above, a manager can do this at any stage.
6. Claim a “Needed” Relief Spot For Staff
Open Slots popup or Menu › My Schedule › Claim This Relief Spot
Sets your own name as relief for that one week only, available to any eligible staff member — first come, first served. You can only claim for yourself, never assign or reassign someone else's relief. The permanent holder themselves can't use this on their own slot — they're redirected to “Remove Relief Needed” instead if they try.
7. Release Your Own Relief Coverage For Staff — Who Claimed It
Click the slot you're covering as relief › DJ or Host tab › Delete
Releases just your relief booking for that one dated slot. The permanent holder's own slot is never touched — the slot goes back to showing “Needed” so someone else can pick it up, rather than disappearing and needing a manager to notice and re-flag it.
8. Automatic Notice: Relief Already Assigned
Shown automatically when the permanent holder opens their own slot while a named relief is already covering it
Lets the permanent holder know someone specific is already covering, and that they can't remove it themselves at this stage — they need to contact a manager, or ask the relief person to release their own coverage first. Once that happens, the slot returns to “Needed” and the permanent holder can remove it themselves if they no longer need cover.
11. Events
1. Create a Special Event
Click any slot › Event tab › type Special Event Name › (optional) Upload Image/Video › Save Event
Attaches an event to that slot, shown on the schedule and in the Upcoming Events popup, with an optional image or video for the public showcase. Editable by a Manager, the confirmed permanent DJ/Host, or a relief DJ/Host who has claimed that slot.
2. Remove an Event's Image
Click a slot with an event › Event tab › Remove
Deletes the uploaded image/video from the event, leaving the event name in place.
3. Delete an Event
Click a slot with an event › Event tab › Delete
Removes the event entirely from that slot.
12. Reservations & Applications
1. Review Pending Reservations For Managers
Select Menu › Reservations
Lists every staff reservation request awaiting a decision, each with Go to Slot, Approve, Reject, and Forward to Another Manager.
2. Approve a Reservation For Managers
Select Menu › Reservations › Approve (or from the slot itself, Approve)
Confirms the staff member into the slot. They're notified automatically next time they log in.
3. Reject a Reservation For Managers
Select Menu › Reservations › Reject
Declines the request; the slot returns to Open.
4. Forward a Reservation to Another Manager For Managers
Select Menu › Reservations › Forward to Another Manager
Passes the decision to a different manager, useful if you'd rather someone else review it.
5. Review a Staff Application For Managers
Select Menu › Applications
Lists everyone who has applied to join as DJ or Host through the public application form, with their availability, experience, and contact preference.
6. Approve or Decline an Application For Managers
Select Menu › Applications › open an application › Approve or Decline
Approving doesn't automatically add them to the roster — it just marks the application decided; you still add them via Add Member separately. Since applicants aren't staff yet, they aren't notified automatically — a manager needs to contact them directly using their chosen contact method to let them know the outcome.
7. Apply to Join (Public)
Click For More Options › DJ/Host Application Form › fill in the form › Submit
Sends an application to the club's managers for review. No login required — open to anyone.
13. Staff Personal Tools
1. Add or Update Your Stream URL
Select Menu › My Stream › paste your stream URL › Save Stream
Saves your SHOUTcast, Icecast, or direct stream link, so the Listen Live button follows your stream whenever you're checked in and on air.
2. Remove Your Stream URL
Select Menu › My Stream › Delete
Removes your saved stream link.
3. View Your Upcoming Slots
Select Menu › My Schedule
Lists your own confirmed slots coming up, flags if one is live right now, and gives a Go to Slot shortcut for each.
14. Viewing Information
1. View the Weekly Schedule
(Default view once logged in, or Menu › My Schedule to close other popups)
Shows the current week's DJ and Host slots across all 7 days, in SL Time alongside your own local time.
2. View the Full 2 Week Schedule
Select Menu › View Full 2 Week Schedule
Shows a wider, more detailed 2-week view of the schedule, including who's currently live with a Listen Live button.
3. View Who's Online
Select Menu › Online
Shows which staff members are currently logged in right now.
4. View Global Staff Timezones
Select Menu › Global Staff Timezones
Lists every staff member's role, location, and current local time side-by-side, with anyone live shown at the top with a Listen Live button. Searchable and sortable by A–Z, DJ, Host, or Earliest Time.
5. View Who's Streaming
Select Menu › Streams
Lists staff members with a saved stream URL, flagging whoever is currently live.
6. View Upcoming Events
Select Menu › Events
Lists every upcoming special event with its date, time, and the staff booked for it.
7. View Open DJ & Host Slots
Shown automatically on login if any exist, or via the notification bell
Lists every slot this week that's unbooked or has relief marked Needed, flagged Urgent if starting soon, each with a Go to Slot shortcut.
15. Understanding the Confirmation Popups
1. The Amber “Confirm Schedule Change” Dialog
Appears automatically before any action that writes to the schedule — reserving, confirming, or checking in to a slot
A deliberately distinct amber/red flashing-border dialog, different on purpose from the normal purple info popups, so it's instantly recognisable as “this one actually changes something real” rather than routine information. It states plainly what's about to happen, then lists exactly who and what it affects — e.g. the DJ's name, the day and time, and the new status — before anything is saved. Choosing Cancel backs out with nothing changed.
